ARTIST RENTAL CONTRACT
This document is an agreement (the “Agreement”) between the The West Toronto Artists' Collective (hereinafter referred to as “Collective”) and LESLIE GROVE GALLERY (hereinafter referred to as “Gallery”) for the rental of the Gallery as follows:
Leslie Grove Gallery, 1158 Queen Street East, Toronto, ON M4M 1L2.
from September 24, 2025 (the “Start Date”) to October 5, 2025 (the “Closing Date”),
for the show titled "CROSSINGS" (hereinafter referred to as “Exhibition”).
The Artist/Collective and Gallery confirm they will comply with the following TERMS AND CONDITIONS:
RENTAL FEE
$1,300.00 + HST for two (2) week rental member rate*
$1,600.00 + HST for two (2) week rental non-member rate
$1,800.00 + HST for three (3) week rental member rate*
$2,300.00 + HST for three (3) week rental non-member rate
*to qualify for member rate, Artist and/or ALL members of Collective must be 2025 member prior to the date that the initial 50% of Rental Fee (Deposit) is due and rental confirmed.
PAYMENT TERMS
Payment shall be made to Artists’ Network by Credit Card, Paypal or Certified Cheque.
50% of Rental Fee + HST of rental payment due within five (5) business days of receipt of notice of acceptance by Leslie Grove Gallery (the “Deposit”). Failure to provide payment by this date will result in forfeiture of Exhibition opportunity.
50% of Rental Fee + HST of final payment due sixty (60) days before Exhibition Start Date (the “Final Payment”)
100% of additional fees (if any) due on or before the Start Date.
In the event the Artist does not provide the Final Payment sixty (60) days before the Start Date of the Exhibition, the Gallery will provide written notice to the Artist that it has five (5) days to pay the Final Payment. If after the Gallery provides the Artist with written notice the Final Payment has not been received by the Gallery forty-five (45) days before the Start Date of the Exhibition, the Gallery has the right to cancel the Exhibition, retain the Deposit in full and use its best efforts to replace the exhibition and minimize its damages.
COMMISSION AND SERVICE FEE
The Gallery charges a fifteen percent (15%) fee on sales of Artwork and a fifteen percent (15%) fee on any additional revenue generating activities held during the Exhibition. This 15% fee includes commission of ten percent (10%) and a service fee of five percent (5%).
The Artist authorizes the Gallery to process all sales. The Gallery will charge HST on all sales and will remit it on the Artist’s behalf to the government. The Gallery will send the Artist an itemized statement (the “Exhibition Sales and Expense Statement”) indicating all Artwork sold, processing fees, any other outstanding costs, and the total payable to Artist. To be reimbursed, the Artist must confirm that all Artwork has been delivered to the Purchaser, sign and return the Exhibition Sales and Expense Statement to the Gallery. A cheque in accordance with the Exhibition Sales and Expense Statement will be mailed to the Artist within 30 days of receipt.
In the event that the Artist or Collective processes sales or payments for events directly, the Artist or Collective agrees to provide a statement of sales/revenue collected during the Exhibition along with the the ten percent (10%) fee to the Gallery, payable to Artists’ Network no later than fourteen (14) days after the closing date.
The Artist or Collective agrees to pay the Gallery commission for sales of all work shown in the Gallery or on the LGG website during the period of the Exhibition and for a reasonable period afterwards as well as commission on the cost of any workshops or activities held in the Gallery during the period of the Exhibition. Payment shall be due to the Gallery regardless of the source of the Collector and the Artist agrees to report all sales to the Gallery.
STORAGE FEE
The last Sunday of the Exhibition is the Exhibition Closing Date and the Artist is expected to remove all Artworks, equipment, installations from 5pm-7pm in order to make room for the next artist and exhibition. The Gallery and Artists’ Network will not be responsible for any Artwork that remains in the Gallery after the Closing Date of the Exhibition. Art for the next exhibition will be delivered for installation on the first Tuesday of the next exhibition and there is no room to store artwork in the gallery. If Artwork is not removed on the Closing Date of the Exhibition the Artist will be subject to the following fees:
•$25.00 per hour for staff taking down Artwork;
•$250.00 per day if Artwork remains in the Gallery after the Sunday; and,
•After 14 days, any remaining Artwork will be donated to a local charity
ADDITIONAL SERVICES PROVIDED BY GALLERY
The Artist shall be responsible for the payment of staff and costs incurred for additional services and time required as follows:
•If requested hours for the Exhibition are outside of the regular Gallery hours;
•If time for setup and removal of Exhibition is outside of the regular Gallery hours;

•For staffing and expenses incurred during any Artist talks or Exhibition opening outside of Gallery hours;
•For Gallery staff assistance if needed to hang the Exhibition; and,
•For any additional services and time that would normally be outside of the scope provided in this Agreement.
GALLERY OBLIGATIONS
•To open the Gallery during its regular business hours, specifically Wednesday to Sunday, 12-5pm except on holidays and in exceptional circumstances;
•To provide a clean and well-maintained venue;
• To implement Ontario Public Health and Toronto Public health restrictions and regulations as required;
•To ensure all equipment is in working order and in good condition;
•To provide knowledgeable staff for the Gallery during regular business hours;
•To respect and assist the Artist as is reasonable and within the scope of this Agreement and during Gallery regular business hours;
•To provide limited curatorial and installation consultation with Artist during Gallery regular business hours; and,
•To provide marketing services using the Gallery social media channels as outlined in the Rental Information Package.
•Additional obligations as outlined in the Rental Information Package posted on the Leslie Grove Gallery website.
ARTIST OBLIGATIONS
•To review and abide by the Rental Information Package posted on the Leslie Grove Gallery website;
•To be respectful of the Gallery, staff and volunteers at all times;
•To respond to Artists’ Network staff and volunteers with required information in a timely manner and as outlined in the Artists Rental Contract and Rental Information Package;
•To provide the Rental Marketing Form 1 and Rental Marketing Form 2 (optional) no later than 2 weeks before the Start Date of the Exhibition;
•To design, print and install professional artwork labels with adhesive that will not damage wall paint when removed;
•To provide all necessary material to promote Exhibition, including graphics in the specified format and within the required timeframe;
•To ensure that all Artwork has secure d-rings on the back of the artwork, one either side 2 inches from the top edge of the work and proper home installation hanging hardware (optional)
•To deliver completed and dry original artworks (the “Artwork”) in accordance with accepted submission to the Gallery on the date agreed to between the Artist and the Gallery (typically on the Exhibition hanging day of the Tuesday) before the Exhibition;
•To plan and curate the Exhibition in a professional manner, with assistance from the Gallery coordinator if needed, to install a professionally curated Exhibition (maximum of two 2 hours of Gallery coordinator time included-must be requested in advance);
•To physically hang the Artwork using the Gallery art hanging system on the Tuesday before opening date of Exhibition during Gallery regular business hours which are 12pm-5pm (assistance from the Gallery committee or coordinator must be requested in advance and is at additional cost);
•To carry appropriate insurance to cover Artwork from the date that the Artwork is delivered to the Gallery until the date that it is removed and any additional insurance as required. The Gallery recommends that all professional artists carry their own liability insurance for all their business activities. The Artists’ Network and the Gallery are not liable for theft or damage of artwork during the exhibition, installation, takedown and removal.
•To design, produce, deliver 2 signs for outdoor sandwich board prior to the Start Date (optional/recommended)
•To provide promotional collateral such as business cards, postcards, exhibition binder, exhibition catalogue (optional/recommended)
•To actively participate in promotion of the Exhibition through all channels available to the Artist;
•To be present in the Gallery if desired, particularly on weekends (optional/recommended);
•To not cause physical damage to the Gallery, including the walls (no glue or nailing is permitted) and if damage is caused to repair immediately or be responsible for the cost of repair; and,
•To remove all Artworks, equipment, installations, etc. on the Closing Date (typically the last Sunday of the Exhibition between 5-7pm) or Artist will be subject to payment of storage fee (see “Storage Fee”)
OPTIONAL SERVICES AND ADDITIONAL FEES
The Artist shall have the option of adding additional services and fees including those listed below:
______ Leslie Grove Gallery Store ($300+HST to set up using artist supplied images, excel spreadsheet with all details due prior to the Start Date. Cost for changes after spreadsheet is submitted or for late submission will be billed at $30.00 per hour)
______ Additional staff for opening ($25.00 per hour) not including “Smart Serve”
______ Smart Serve staff for opening (TBD)
______ Staff for additional gallery hours if requested in advance ($25.00 per hour)
______Assistance with hanging show if requested in advance ($25.00 per hour)
ARTIST RELEASE
Artist assumes all risks and hazards incidental in the installation of Exhibition.
The Artist warrants and represents that he/she is the sole legal owner of all rights, title and interest in all Artwork, including all related intellectual property interests such as trademarks and the sole and exclusive copyright in all Artwork, and has the full right and authority to enter this Agreement and grant the rights granted in this Agreement.
INTELLECTUAL PROPERTY
The Gallery provides use of its logo to Artist to self-promote Exhibition. The Artist forfeits the right to use logo after the Closing Date of Exhibition.
COPYRIGHT
Artist grants permission to Gallery to use images of original Artwork and curated Exhibition in the commercial promotion and advertising of Exhibition and Gallery on all platforms in perpetuity. Photographers hold copyright of their digital images.
SHIPPING AND DELIVERY OF SOLD ARTWORK
All sold Artwork will be marked with a red dot on the label and shall remain in the Gallery for the duration of the Exhibition, unless the Artist prefers otherwise and agrees to replace any Artwork that is taken by the purchaser (the “Purchaser”). The Artist shall be responsible for the packaging, delivery and shipment of all Artwork to the Purchaser within a timely manner. The Artist will certify that the Artwork has been delivered to the Purchaser on the Exhibition Sales and Expense Statement and prior to payment being released by the Gallery.
CANCELLATION BY ARTIST
In the event the Artist wishes to cancel a show, the Artist must provide written notice to the Gallery, as follows:
•Once the Artist pays the Deposit, no refund of the Deposit will be issued.
•Once the Artist pays the Gallery the Final Payment which is due 60 days before the Start Date of the Exhibition, no refund will be issued.
WAIVER OF LIABILITY
Artist expressly release and hold harmless all parties listed below:
The Gallery, Artists’ Network staff, Artists’ Network volunteers, all current and past members of the Artists’ Network Board of Directors and all Artists’ Network Committee members, individually and collectively, from any liability whatsoever and for any damages to or loss of the Artworks during the period of the Exhibition.
Artist releases and holds harmless the above listed parties from any claim arising from the installation of and for the full duration of the Exhibition.
GENERAL
This Agreement is governed by and construed in accordance with the domestic laws of the province of Ontario, Canada and the laws of Canada applicable therein, without regard to conflicts of laws. The parties hereto hereby attorn to the exclusive jurisdiction of the courts of the province of Ontario. Neither party will assign its rights or obligations under this Agreement without the prior written consent of the other party. Any assignment without consent will be null and void. Superceding all prior oral or written communications with respect to the subject matter and the terms hereof, and may be altered, modified or changed only by a document signed by an authorized representative of each party.
